fixmyboiler.org.uk is a trading website of Southwark Heating. This policy explains how Southwark Heating ("we", "us") collects and uses your personal information when you use fixmyboiler.org.uk or contact us. We are the data controller.

Who we are

Southwark Heating, South Dock Marina, Rope Street, London SE16 7SZ.
Email: info@southwarkheating.com
Phone: 020 8050 2022
Mobile (call, text or WhatsApp): 07988 991963

What information we collect

Booking form: your name, email address, telephone number, property address, postcode, the service you choose and its price, your preferred date and time, whether you chose a priority visit, and anything you tell us about the problem, such as your boiler make and any fault code.

Contact form: your name, phone number, email address, the postcode of the property and your message.

Customer account (online portal): you can create an account on southwarkheating.com. If you do, your email address, name, phone number, address and password (stored securely; we cannot see it), plus any appliance details you add. Your account shows you your jobs, documents, invoices and payments.

We also collect what you tell us by phone or email, and information needed to carry out work for you, such as details of your heating or gas appliances. Our website host automatically records basic technical information (such as IP address and browser type) when you visit.

How we use it and our lawful basis

To respond to your enquiry, arrange and confirm your booking, provide quotes and carry out work for you (taking steps before or performing a contract). To keep records of gas and heating work and meet legal and regulatory obligations (legal obligation). To run, secure and improve this website (legitimate interests).

We do not sell your personal information. We only send marketing messages if you have agreed to receive them.

Payments

Online payments are taken by Stripe on its own secure payment page. We do not see or store your full card details. Stripe handles the information you give it under its own privacy policy, and we can see records of payments made in our Stripe account.

Saving your details on your device

So you do not lose what you have typed if the page is refreshed, the booking form saves your entries in your browser’s session storage on your own device. It is cleared when you close the tab or complete your booking, and it is not sent to us until you submit the form.

Who we share it with

We use trusted providers to run our business: our payment provider (Stripe), our website host (GitHub Pages), our database and customer account provider (Supabase), which also receives and stores the enquiries and bookings you send through this website, and our email provider (IONOS). They process information only to provide their services. Some providers may process data outside the UK; where they do, we rely on appropriate safeguards. We may also share information where the law requires it.

Cookies

We do not set advertising or analytics cookies, and this website does not use analytics or advertising tools. Our third-party providers (for example Stripe on its payment pages) may use their own cookies, which are covered by their own policies. If we add any cookies or tracking in future, we will update this policy and ask for consent where required.

How long we keep it

We keep personal information only for as long as we need it for the purposes above, including to meet legal, accounting and regulatory requirements.

Your rights

Under UK data protection law you can ask to access, correct or delete your information, restrict or object to our use of it, and request a copy of it. To do so, contact us using the details above.

Complaints

If you are unhappy with how we use your information, please contact us first. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Changes

We may update this policy from time to time. The date at the top shows when it was last changed.
